JOB TITLE: Administrative Assistant
Our client, a Canadian Financial Institutions is looking for a high calibre candidate to fill up the position in their Hong Kong Office :
Job Responsibilities :
- Assists the Office Administrator in providing full administrative support to the Private Investments team including handling incoming and outgoing correspondence, mail, faxes, maintenance of filing system, photocopying, printing, stationary and office supplies, conference rooms management and catering services
- Responsible for reception duties; acts as an ambassador for Private Investments and plays a key role in ensuring that Private Investments is viewed as a professional, friendly, easily accessible and approachable partner for internal and external stakeholders
- Assists with the travel and expense reporting for the Funds & Secondaries team
- Assists the Office Administrator in managing the calendar, reporting, appointments, presentations, coordinating meetings, action items and other administrative needs of the team
- Works with the Executive Assistants to ensure team members are prepared for all meetings and any carry forward action items coming out of these meetings
- Represents the Private Investments team in various forums and in meetings with external and internal guests to Private Investments
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organization
- Works cross functionally with other team members and departments to ensure we remain aligned with our vision, goals and value
- Accommodates and completes staff requests within the deadlines or on a timely basis Other duties as assigned
Job Requirements :
· Diploma / University gratudate with minimum of 3-5 years experience in an administrative role; exposure to the financial industry preferred; interest in the investment industry or learning about it considered an asset; recent grads will be considered
· Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and comfort learning new applications
· Extremely motivated, eager to learn, adaptable and determined
· Strong desire to develop within a role and organization
· Able and willing to work flexible hours
· Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task
· Exceptional communication skills (verbal and written) in English and interpersonal skills
· Ability to speak, read and write Cantonese and Mandarin
· Easily liaises and interacts with all types of personalities and at all levels while maintaining professionalism
